Venus Aesthetics & Laser ("we", "the clinic") is the data controller for the personal information you give us through this website and in the clinic. This notice explains what we collect, why, how long we keep it, and the rights you have over it. Our address is 146 Burton Road, Derby DE1 1TN, United Kingdom. What we collect
When you request an appointment we ask for: - your name and phone number, and your email if you choose to give it - whether you are a woman or a man, or prefer not to say — because one of our practitioners sees female clients only, this decides whose diary we can offer you - your date of birth — some treatments have a minimum age in law - anything you choose to tell us in the notes, which may include health information
In the clinic we keep a treatment record: the consultation, the treatments carried out, products used, consent forms and any photographs taken with your agreement. Health information is "special category" data and we take particular care with it.
Why we use it
- to arrange, confirm, move and remind you of appointments (performance of a contract with you)
- to assess whether a treatment is suitable and to carry it out safely (your explicit consent, and our duty of care)
- to keep the records we are required to keep as a treatment provider (legal obligation)
- to answer your messages and questions
We do not use your details for marketing unless you have asked us to, and we never sell them.
Who sees it
Only the clinic's staff, and only as far as their role needs. The website and its booking system run on servers provided by Railway and Turso in the European Union, and the companies that run them are bound by contract to keep the data secure. When we confirm or remind you of an appointment we do so by phone, WhatsApp or SMS to the number you gave us, which means that message passes through those services. We do not share your information with anyone else unless the law requires it.
How long we keep it
- Treatment records: 8 years from your last treatment, in line with the guidance for clinical records in England.
- Booking requests and enquiries where no treatment took place: 24 months.
- Photographs: for as long as your treatment record, and never used publicly without your separate written permission.
Your rights
Under UK data protection law you can ask us for a copy of the information we hold about you, ask us to correct it, ask us to delete it (we may have to keep treatment records for the period above), and object to or restrict how we use it. Email Venus8ltd@gmail.com and we will reply within one month. If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office at ico.org.uk.
